Finance & Operations Specialist

Are you a finance professional who loves taking ownership of the books, but also enjoys being connected to the day-to-day operations of a dynamic e-commerce business? If you have a solid financial background, an independent mindset, and a willingness to occasionally help out our operations team, we would love to hear from you!

About the company: BartsParts is the leading e-commerce platform for spare parts in expanding industries, with a growing portfolio of 3 million products. Our platform connects the inventory of spare parts from partners throughout Europe, allowing them to sell obsolete and slow-moving items in our online shop. Our platform promotes these products as a complete catalog for our customers. We are a dynamic, international, yet tight-knit company. We are looking for driven individuals to join us in growing the business and taking on new challenges.

About the role: In this highly independent role, you will essentially take full responsibility for our financial administration. Because we are a growing scale-up, you won't just be staring at spreadsheets all day; your role is directly tied to our daily business. You will spend the majority of your time (around 80-90%) on finance and accounting, while also providing hands-on support to our customer service and operations team to keep our order fulfillment running smoothly.

Your Financial Responsibilities:

  • Taking full ownership of Accounts Receivable and Accounts Payable (A/R & A/P).
  • Booking purchase invoices (via Basecone) and verifying/adjusting sales invoices (via WeFact).
  • Managing the bank book, including matching and booking in our accounting software (Twinfield).
  • Reconciling the bank book and payment providers (such as Adyen and PayPal).
  • Preparing outgoing payments and securely processing/verifying customer refunds.
  • Preparing VAT returns for up to 7 different countries (working alongside our specialized external VAT agency).
  • Making general ledger corrections (journal entries).
  • Preparing quarterly and half-yearly financial figures.

Your Operations & Support Responsibilities:

  • Supporting order fulfillment within our custom ERP platform (BART) to ensure orders are processed accurately.
  • Helping out with after-sales activities and the logistical follow-up of orders.
  • Occasionally collaborating with suppliers and third-party logistics to address customer queries or claims.

About You:

  • You have a solid background in finance/accounting and are comfortable carrying the responsibility for the entire financial administration.
  • You are fluent in English (our main company language). Dutch is a strong plus (especially for communicating with our accountant and VAT agent) but not strictly required.
  • A firm understanding of Dutch accounting rules
  • Knowledge of (international) VAT rules is highly desirable.
  • You are tech-savvy: comfortable working with ERPs and cloud software. We currently use our own ERP (BART), Basecone, Twinfield, and WeFact.
  • You are proficient in Excel and know how to smartly utilize modern AI tools to optimize your workflow.
  • You are a proactive, creative problem-solver with a great eye for detail.
  • You are a team player who can work highly independently. Most importantly: you want to have fun at work while excelling in your performance!

Benefits:

  • A contract for 32 to 40 hours a week (working hours to be discussed based on your availability: Monday to Friday, office hours).
  • A 7-month contract leading to a permanent contract if performance meets expectations.
  • Up to 40% work-from-home option (after completing basic training and proven results).
  • Public Transport allowance.
  • International exposure and a complete overview of the entire operations of the company.
  • A dynamic work environment with a supportive and diverse team.
