Position overview
The Customer Operations Coordinator supports the day-to-day execution of customer operations activities across EMEA, ensuring customer requests, onboarding, operational issues, order-related topics, and disputes are handled efficiently and with clear communication. Reporting into the Customer Operations Manager, this role works closely with Sales, Supply Chain, Logistics, Finance, and Customer Service to keep processes moving, create visibility on open topics, and help improve the overall customer experience through strong follow-up, accurate information, and a proactive approach.
What You'll Do
Customer Onboarding & Activation
- Support the smooth onboarding and setup of new customers, making sure the right information, documentation, and system details are in place.
- Coordinate customer account activation, including EDI setup and internal handovers, to help create a strong start for our customer partnerships.
Customer Operations Support
- Act as a key day-to-day contact for customer operations questions, requests, and follow-ups.
- Partner closely with local and overseas teams across Sales, Supply Chain, Logistics, Finance, and Customer Service to resolve operational topics and keep things moving.
- Support order management activities and help remove roadblocks that could impact the customer experience.
Performance & Reporting
- Maintain customer operations trackers, KPI reports, and service performance updates.
- Monitor trends, flag risks or recurring issues, and support accurate data and reporting across systems.
- Help create visibility on operational performance so teams can take action quickly and effectively.
Dispute Management
- Coordinate the review and resolution of customer disputes, including shortages, deductions, invoice discrepancies, and chargebacks.
- Gather supporting information, track progress, and follow up with the right teams to help drive cases to closure.
- Support a structured and customer-focused approach to resolving operational issues.
Collaboration & Communication
- Keep customers and internal stakeholders informed through clear, timely, and professional communication.
- Maintain customer-specific requirements, escalation overviews, and process documentation.
- Support cross-functional meetings by preparing updates, capturing actions, and following through on next steps.
- Contribute to a fast-paced, entrepreneurial team environment where ownership, collaboration, and continuous improvement are key.
Who You Are
- Proactive and comfortable taking ownership of open topics, following through until resolution.
- Customer-focused, with the ability to balance service mindset, operational accuracy, and business priorities.
- Able to work well with different teams and stakeholders in a fast-paced, international environment.
- Fluent English is required, other European language is a plus
- 2+ years of experience in Customer Service, Sales Support, Operations, Supply Chain, or Order Management.
- Strong organizational and communication skills.
- Detail-oriented with excellent follow-up capabilities.
- Experience with ERP, CRM, or ticketing systems preferred.
- Proficient in Microsoft Office, especially Excel, PowerBi is a plus
