In this role, you'll play a key part in managing group reservations from the initial booking through to invoicing, ensuring every detail is handled with accuracy and care. Working closely with clients and internal departments, you'll help coordinate group stays and support the successful delivery of meetings, conferences, and events.
We are offering a maternity cover from 1st September 2026 - 30th November 2027 and you will be joining a team of 7 colleagues. We offer a collaborative and positive work environment built on strong team dynamics and mutual support.

About the position:
The Group Reservations Coordinator plays a key role in managing and coordinating all the hotel’s reservation activities, with a primary focus on group, conference, events and congress bookings.
This position serves as a central point of contact between Sales, Events, Revenue, and Front Office to ensure a seamless and professional reservation process.
Key Responsibilities:
Reservation and Group Reservations Management

Manage end-to-end reservations for all group segments, including leisure groups, VIP groups and congress bookings.

Set up, maintain, and monitor room blocks in the PMS (Opera Cloud or similar), ensuring accurate pickup tracking, cut-off dates, and rooming lists.

Coordinate closely with Sales, Revenue, Conference & Events teams to ensure rates, terms, and allocations are in line with contracted agreements.

Handle individual reservations and VIP bookings as needed, supporting overall occupancy and revenue performance.

Oversee multiple simultaneous bookings and events from initial request through final billing.
Financial:
Ensure accurate and timely billing for groups, conference and congress clients.
Responsible for supporting Revenue and C&E Team with group pickup, pace, and wash for forecasting purposes.
Contribute to budgeting and forecasting by maintaining up-to-date and accurate data.
Give the right data for the accruals Commission
Upselling Food & Beverages options to upcoming Groups.
Guest/customer experience:

Serve as the main point of contact for group organizers, travel agents and PCOs (Professional Congress Organizers)

Provide timely responses to inquiries, changes, confirmations, and special requests.
Handle booking-related issues or client concerns with a solution-oriented approach and excellent customer service.
Qualifications:
- Experience: 2-4 years of experience in hotel reservations or front desk operations, with a focus on group bookings, is preferred.
Skills and Abilities:
- A high level of accuracy, service, and the ability to manage complex bookings are essential for success in this role
- Excellent organizational skills with attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency in hotel property management systems (PMS) and reservation software.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Proficiency in booking and reservation systems, with experience in OPERA PMS, GXP, Excel, and other relevant tools.

- Strong problem-solving skills and the ability to handle stressful situations calmly.
- Team player - enjoys collaborating across departments and supporting colleagues to ensure seamless event execution but also have the ability to work independently.
