General Description.

Reporting to the Project Manager, the Project Coordinator is responsible for supporting the planning, coordination and successful execution of customer projects and logistics activities across Germany. Working closely with Project Managers, Operations, Sales, overseas offices and customers, the role ensures projects are delivered efficiently, accurately and in accordance with customer requirements and Crane Worldwide Logistics' operational standards.

The Project Coordinator plays a key operational role by coordinating project activities, executing shipments within the Company's operating systems, maintaining accurate project documentation and supporting the achievement of operational service levels and Key Performance Indicators (KPIs).

The role requires excellent organisational skills, strong attention to detail, the ability to manage multiple priorities and a proactive approach to delivering exceptional customer service within a fast-paced freight forwarding environment.

Essential Job Functions.

Project Coordination.

  • Support the coordination of customer projects from initiation through to successful completion.
  • Assist in preparing project plans, implementation schedules and project timelines.
  • Monitor project milestones and follow up on outstanding actions to ensure timely completion.
  • Maintain accurate project documentation and project files**.**
  • Coordinate internal and external meetings and distribute meeting minutes where required.
  • Assist Project Managers with project reporting, tracking deliverables and customer communications.
  • Support customer implementation and onboarding activities

Operational Execution & Systems

  • Create, process and manage shipments within the Crane Worldwide Logistics operating system (TMF), ensuring shipment information is accurate, complete and maintained throughout the shipment lifecycle.
  • Execute operational transactions within TMF in accordance with Company procedures and customer requirements.
  • Ensure shipment milestones, status updates and operational documentation are accurately maintained within company systems.
  • Coordinate transportation activities with Operations, Warehousing, Customs, Carriers and overseas offices to ensure seamless execution.
  • Monitor shipment progress and proactively communicate updates to customers and internal stakeholders.
  • Identify operational issues, delays or service exceptions and escalate them appropriately to minimise customer impact.
  • Ensure all operational activities are completed in accordance with Crane Worldwide Logistics Standard Operating Procedures, customer requirements and applicable regulatory requirements.

Customer Service & Communication

  • Act as a day-to-day contact for assigned customer projects.
  • Provide timely and accurate updates regarding shipment and project status.
  • Respond promptly to customer enquiries and requests.
  • Build and maintain positive working relationships with customers, suppliers and internal stakeholders.
  • Support Project Managers in delivering a high standard of customer service throughout the project lifecycle.

Operational Performance & Continuous Improvement

  • Support the achievement of operational Key Performance Indicators (KPIs), including shipment quality, data accuracy, productivity, service performance and timely completion of operational activities.
  • Maintain high standards of operational accuracy and compliance across all assigned work.
  • Assist in identifying opportunities to improve operational efficiency and customer service.
  • Support implementation of new operational procedures and best practices.
  • Promote collaboration and knowledge sharing across departments.

Administration & Reporting

  • Maintain project files and documentation in accordance with company procedures.
  • Prepare project status reports and management updates.
  • Monitor project costs and assist with maintaining accurate financial records.
  • Support invoice verification and project billing processes where required.
  • Ensure project information is accurately maintained within company systems

Other Skills & Abilities

  • Good understanding of international freight forwarding and logistics operations.
  • Experience working with freight forwarding operating systems, preferably TMF.
  • Strong organisational and coordination skills.
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Customer-focused with a proactive approach to problem solving.
  • Ability to prioritise and manage multiple tasks within a fast-paced operational environment.

Education & Direct Work Experience

  • Certificate in Logistics, Supply Chain, Business Administration or a related discipline is preferred.
  • 2–3 years' experience within freight forwarding, logistics or supply chain operations.
  • Experience coordinating shipments, customer projects or operational activities is desirable.
  • Strong administrative and organisational experience.
  • Experience working in a customer-focused environment

Certification & Licences

  • Professional certification may be required in some areas.
