Job Description
Rosewood Amsterdam is looking for an organized and detail-oriented Assistant Purchasing Manager to join our team.
In this key role, you will support the Director of Purchasing in leading the procurement process from start to finish, overseeing vendor relationships, optimizing processes, and ensuring accurate and timely purchasing across departments. You will also provide day-to-day guidance to the purchasing team, stepping in for the Director of Purchasing when required.
Key Responsibilities
- Support the Director of Purchasing in the daily management of the Purchasing Department, deputizing where needed.
- Oversee purchasing activities and guide the purchasing team in processing purchase orders accurately.
- Review purchase agreements and support negotiations with vendors on pricing and terms.
- Communicate with vendors regarding orders, deliveries, and discrepancies, and resolve escalated issues.
- Track shipments and monitor delivery schedules across departments.
- Maintain and audit purchasing records, reports, and filing systems.
- Verify requisitions and confirm department requirements before processing.
- Manage inventory levels and restock activities, identifying opportunities to reduce excess stock.
- Ensure compliance with procurement policies and company standards across the team.
- Utilize procurement software, especially Birchstreet, to manage orders, approvals, and documentation.
- Identify and implement process optimization and cost-saving measures.
- Support, coach, and help train members of the purchasing team.
Qualifications & Skills
- Strong computer skills (MS Excel, procurement platforms).
- Experience with Birchstreet or similar purchasing platforms is highly preferred.
- Solid understanding of supply chain and inventory management.
- Strong communication skills, with the ability to build and manage vendor relationships.
- Prior experience in a purchasing role, with some supervisory or team lead experience.
- Proactive mindset toward process improvement and efficiency.
- Attention to detail and accuracy in data entry and reporting.
- Strong multitasking and prioritization abilities.
- A problem solver who adapts easily to challenging situations.
Experience
- At least 2-3 years of experience in a purchasing or procurement role, preferably within Hotel/Restaurant operations.
- Prior experience guiding or supporting a team is an advantage.
- Experience working in an international-class hotel is an advantage.
