Your main task will be to support our Contract Group department in the area of consultants’ contracts. This also includes various administrative tasks related to following the entire contract process and maintaining close contact with our sales department and other internal departments is an important part of the daily routine.
Location: Warsaw, hybrid
You will have a great influence on shaping your own working day and be responsible for, but not limited to:
- Creating, correcting and sending contracts to the clients and consultants,
- Ensuring correct invoicing data in the system,
- PO hunting,
- Contract management,
- Creating, adjusting and updating contract templates according to client framework agreements,
- Assisting the Account Managers and Finance Department in different administrative tasks,
- Synchronization of data in contracting related databases to ensure that our systems are always updated and current, and in turn the contracts and invoices as well,
- Participating in the development and overall optimization projects and system improvement to support the continued growth in emagine.
- Adding and verifying invoicing data (PO no., cost center etc.),
- Adjusting fees and rates (e.g. index regulations),
- Calculating discounts and submitting to internal system,
- Support Sales in invoice related matters,
- Preparing standardized procedures and instructions to ensure smooth knowledge transfer within the team,
- Support Contract Director in reporting.
The right candidate for this position is characterized by an independent and flexible approach. You take pride in delivering solid results every time on schedule. You enjoy connecting with consultants and clients so that you always provide them with a high level of service. As such, you are a strong communicator and listener with a good understanding of the processes due to your thorough and detail-oriented mindset. It is important that you are flexible and know how to prioritize your tasks when faced with swift changes that may occur from time to time. You always finish what you start, take the initiative as well as share your ideas and knowledge with your colleagues, because you believe that teamwork is the way to success.
The job requires a large overview and being responsible for every assignment you are given to ensure that the process is going smoothly and to create the best results possible.
We prefer that you:
- Have at least 2 years of experience in working with details in written material, documents and databases,
- Have a natural flair for and are motivated by working with people services and have a good understanding of the importance of being a support function to others,
- Have a high level of drive, initiative and persistence and are result-oriented,
- Have a strong sense of discipline, know how to structure your way of working,
- Have experience in working with Microsoft Office (especially Word & Excel),
- Have a high sense of detail and overview,
- Have professional communication skills in German and English,
- Have an outgoing and service minded personality with strong communication skills,
- Are flexible and know how to prioritize your tasks.
