The SRP Assistant is responsible for delivering the Staff Residential Property service and support in compliance with guidelines and relevant health and safety legislation.
Role Summary
The SRP Assistant is responsible for delivering the SRP service in compliance with client's guidelines and relevant health and safety legislation. You will have ownership of the full SRP posting cycle, including identification and application of rental properties. You will communicate with client staff, ensuring the move in move putprocess flows effectively and liaise between the landlord, FM team, or supply partner on any proactive or reactive needs.
You will plan, update, prepare, coordinate and execute the required works whilst seeking, searching and planning all client staff move-in and move-out programmes. You will also plan and manage all required works being undertaken by JLL and subcontractors, ensuring all properties meets clients strict standards, legislatory requirements, polices and procedure.
The role requires excellent organisation skills, exceptional customer service, with the ability to manage customer’ and client’ expectation whilst maintaining and providing exceptional customer service and engagement.
Responsibilities
Full preparation of residential properties: ensuring that properties are ready for occupancy within contractual deadlines.
Have an in-depth understanding on how to read and evaluate leases, diagnostic, invoices, CPI index, documentation and all related H&S documents for staff residential properties.
Supervision of move activities and related administration: oversee and coordinate move-in and move-outs, including all associated administrative tasks.
Ensure that inventories always contains sufficient and explicit evidence (i.e. photos, relevant writings).
Coordinate subcontractor works and works to be completed by internal technicial team on the SRP portfolio, respecting property health and safety requirements and maintaining quality standards.
Planning in appointments with Sub contractors and occupants.
Serve as a single point of contact for customers in assigned properties: End to end liaison with the Landlords/Managing Agencies & Occupants on a day to day basis and report to the SRP Manager in case of escalation.
Create and maintain excellent relationships with LL / Managing Agencies and occupants.
Monitor and control reporting on all residential property related works to ensure strict adherence to contractual KPIs and SLAs. Manage claims and insurance issues.
Assist in pro-actively implementing, monitoring and controlling a robust safe-system of work ensuring full adherence to Health, Safety and Environmental legislation.
Ensure strict adherence to all processes and procedures; not limited to but including; Work order management, Company Documentation, Work Instructions, ISO Processes, Coshh Assessments, Risk Assessments and Method Statements.
Ensure that JLL Safety Standards are complied with and target reporting is achieved.
Creates a safety culture that looks for continuous improvement.
Completes all business reporting in a timely manner.
Develop and maintain productive working relationships with client/EOT staff and client members.
Work closely with SRP Manager / Facilities Manager, and client representatives on Estates & Services matter as appropriate.
Actively participate in regular forums / meetings etc. on all Estates & Facilities issues or as required.
Skills & Experience
A bachelor’s degree from an accredited institution preferred or equivalent.
Sufficient or appropriate commercial property management experience.
Experience preparing budgets, CAM reconciliations, and other types of related financial reports is required.
Experience of using a property management accounting platform.
Articulate, professional with excellent customer services skills.
Excellent communication skills, written and oral.
Demonstrated ability to communicate effectively at all levels, including internal and external customers, co-workers, suppliers, partners and subcontractors.
Ability to effectively present information and respond to questions from senior level management, clients, tenants, vendors, peers and the public.
Ability to maintain very high levels of confidentiality critical.
Proven ability to prioritise work, working within tight deadlines, and multi-tasking, namely planning, organising and monitoring several activities at the same time.
Good decision making and problem-solving abilities is essential.
The role requires high levels of reliability, dependability, honesty and integrity.
Articulate and organised to ensure, business documentation is maintained, and kept in line with company policies and procedures and contractual obligations and requirements.
IT literate with an advanced level of Microsoft Office applications.
Logical, self-starter able to work with minimal supervision.
Languages & Location
English C1 & Dutch at B1 level would be preferable
