About the job
To provide dedicated support to members of our Region Scandinavia Management Team (SMT), we are looking for an Executive Assistant to join our team.
You will work closely with senior leaders in Region Scandinavia and the business partner, providing dedicated support across calendar coordination, meeting preparation, reporting, travel, events, and a wide range of administrative tasks to help keep their day-to-day operations running smoothly.
The role gives you a front-row seat to how a regional management team operates and the opportunity to contribute directly to the leaders who help run Falck’s business across Scandinavia.
Your key responsibilities will be to:
- Calendar & meeting management - own the Head of Scandinavia’s calendar, coordinate management meetings, set agendas, handle materials and pre-reads, ensure minutes are taken, and follow up on action items. Ensuring interdependent meetings are scheduled logically.
- Presentations & material - prepare, quality-check, and ensure timely delivery of management presentations, strategic updates, and external presentations - with a consistent standard across all outputs.
- Travel & events - plan and manage travel and events including hospitality for internal and customer meetings, agenda building, on-the-day execution, post-event follow-up, and travel arrangements for the Scandinavian Management Team.
- Coordination & communication - communicate with a wide range of stakeholders and liaise with other assistants to ensure efficient delivery of tasks. Build a strong internal network to ensure smooth delivery and effective problem-solving.
- Administrative support - deliver administrative support by reviewing and coding expenses, handling ad hoc tasks given by the Scandinavia Management Team, and helping keep senior leaders’ day-to-day work structured and on track with minimal supervision.
About you

To set you up for success, we imagine that you already have:
- Extensive experience as a personal assistant, executive assistant, or from a similar coordination role.
- Strong organisational skills with the ability to manage calendars, meetings, and multiple priorities in a structured way.
- A proactive and service-minded approach, with the confidence to work independently and navigate a broad stakeholder landscape.
- A high level of discretion and trustworthiness when handling sensitive and confidential information.
- Strong attention to detail and confidence working with Outlook, Excel, PowerPoint, and Word.
- Fluency in English. Danish or Swedish is considered an advantage.
Practicalities about the position
This is a permanent full-time position located at Falck’s headquarters in Sydhavnsgade 18, Denmark. We expect you to be mostly on-site, with the possibility to work from home some days. The starting day will be as soon as possible once we have found the right candidate.
