We are a boutique AI firm building production AI systems for regulated industries, including insurance, banking, healthcare and legal, for clients across the US, Latam, Europe and the GCC. We also build and scale our own AI-native products through our Venture Builder.
We are a remote-first company, but our offices are an important part of how we come together as a team. Las Palmas is one of them, and we are looking for someone to take real ownership of it.
The role
This is not a role for someone who waits for a checklist.
We are looking for someone who sees that something needs doing and takes care of it. Someone who notices when a process could be more organised, when the office is missing something or when a small improvement could make everyone’s day easier.
You will be the person responsible for making sure the Las Palmas office works well every day. That includes keeping the space organised, handling practical issues, coordinating suppliers, running errands, preparing our Friday breakfasts and supporting events and visits.
It also means bringing structure to everything behind the scenes. You will keep information and documentation organised, use tools such as Google Drive and Dropbox properly, and make sure important details are easy to find rather than living in someone’s memory.
This is a hands-on role with a lot of variety and autonomy. Some tasks will require planning and coordination. Others will simply need someone willing to step in, find a solution and get them done.
The common thread is ownership: you see what is needed, communicate clearly and follow things through until they are actually solved.
What the work actually looks like
- Be present in the Las Palmas office every working day and take ownership of everything needed to keep it running smoothly.
- Make sure the space is comfortable, organised, well stocked and ready for the team.
- Notice what could work better and take the initiative to improve it.
- Coordinate purchases, deliveries, suppliers, maintenance and repairs, following up until each issue is fully resolved.
- Organise information, invoices, contacts, processes and documentation using tools such as Google Drive and Dropbox.
- Create simple, clear ways of working so that important information is documented and easy for others to find.
- Communicate relevant updates to the right people, understanding what needs to be shared, when and with whom.
- Organise our Friday breakfasts and other team meals, including planning, shopping, setup and any necessary coordination.
- Support internal and external events with venues, suppliers, materials, logistics and on-the-day preparation.
- Help organise visits from teammates based in Madrid, Tenerife and other locations.
- Coordinate travel, accommodation and transport when needed.
- Support onboarding and team logistics, including welcome packs, equipment shipments and merchandising.
- Handle practical errands, collections, deliveries and administrative tasks around the island.
- Step in wherever operational support is needed and help turn unexpected situations into practical solutions.
Who this is for
This role will suit someone who takes genuine satisfaction in making things work well.
You are highly organised, and that shows in how you manage tasks, information and follow-ups. You document things properly, understand the value of keeping shared tools up to date and do not let details disappear across messages or conversations.
You communicate clearly and with good judgement. You know when something can be handled independently, when someone needs an update and when an issue should be raised quickly.
You are also practical and resourceful. You are comfortable making calls, comparing options, running errands, preparing a space, helping at an event or dealing with an unexpected problem. No two days will look exactly the same, and that variety is something you enjoy.
You will probably recognise yourself in some of these:

Previous experience in office management, operations, hospitality, events, executive assistance or another hands-on coordination role would be useful. However, we are more interested in how you operate than the exact job title you have held before.
You will need to be based in Las Palmas de Gran Canaria and available to work from the office every day.
Having your own car is essential, as the role regularly involves purchases, collections, deliveries and other logistics around the island.
