Event Coordinator
Do you love bringing people together and turning plans into seamless experiences? Are you organized, hands-on, and comfortable managing many details at once? Then this Event Coordinator position might be perfect for you!
What will you do?
As an Event Coordinator, you'll plan and deliver events that strengthen the InBody brand and create valuable experiences for customers and partners. From trade shows and congresses to workshops and customer events, you ensure everything runs smoothly from preparation through follow-up.
Your responsibilities include:
- Planning and coordinating trade shows, congresses, conferences, workshops, product launches, and other events.
- Managing event logistics, including venues, suppliers, catering, audiovisual needs, travel, accommodation, and equipment shipments.
- Creating event timelines, checklists, and schedules, and ensuring deadlines are met.
- Managing event budgets, tracking costs, and coordinating supplier requirements.
- Coordinating exhibition stands, signage, promotional materials, and other brand-compliant event assets.
- Acting as the main contact for organizers, suppliers, partners and speakers
- Managing invitations, registrations, guest lists, and event communications with the marketing and sales teams.
- Providing on-site support for setup, execution, troubleshooting, and breakdown.
- Coordinating post-event follow-up, lead handover, feedback collection, and event evaluation.
- Maintaining the event calendar and improving event processes.
Who are you?
- You hold a Bachelor's or Master's degree in Event Management, Marketing, Communications, Hospitality, or a related field.
- You have 2-4 years of experience in event coordination or management, preferably in a B2B or international environment.
- You have strong project management and organizational skills and can manage multiple priorities and deadlines.
- You have experience with event suppliers, budgets, logistics, venues, and external partners.
- You fluent in English, both spoken and written. Fluency in Dutch is considered a significant plus.
- You are confident using Microsoft Office, experience with CRM, event registration, or Canva is a plus.
- You are proactive, detail-oriented, service-minded, and solution-focused.
- You are flexible and willing to travel.
