Project Manager - Facilities Management (Life Sciences)Position OverviewThe Project Manager is responsible for leading workplace transformation initiatives and optimizing facility operations for life sciences clients. This role manages complex projects that enhance workplace efficiency, employee experience, and operational performance while ensuring compliance with stringent industry regulations and safety standards specific to life sciences environments.
Primary ResponsibilitiesProject Management & Delivery
Oversee end-to-end delivery of workplace dynamic projects including space optimization, moves/adds/changes (MAC), facility reconfigurations, and workplace experience enhancements. Develop comprehensive project plans with clear timelines, budgets, resource allocation, and risk mitigation strategies. Coordinate cross-functional teams including facilities, design, construction, IT, and client stakeholders to ensure seamless project execution. Manage project budgets ranging from $50K to $5M+, tracking expenditures and ensuring cost-effective delivery.
Life Sciences Compliance & Safety
Ensure all workplace projects comply with FDA, cGMP, biosafety level requirements, and relevant life sciences regulations. Coordinate with Environmental Health & Safety (EH&S) teams to maintain cleanroom standards, contamination control, and laboratory safety protocols during project activities. Manage documentation and validation processes required for regulated environments, including change control procedures and qualification protocols (IQ/OQ/PQ).
Stakeholder Management
Serve as primary point of contact for client leadership, understanding their strategic workplace objectives and translating them into actionable project plans. Facilitate regular project status meetings, providing transparent communication on progress, challenges, and solutions. Build strong relationships with laboratory scientists, research teams, and operational staff to minimize disruption to critical work.
Space Planning & Optimization
Analyze workplace utilization data and occupancy trends to identify optimization opportunities within laboratory, office, and support spaces. Develop space allocation strategies that balance research needs, collaboration requirements, and regulatory compliance. Implement workplace flexibility solutions including hot-desking, collaborative zones, and hybrid work models where appropriate for non-laboratory functions.
Change Management
Lead organizational change management efforts associated with workplace transformations, ensuring smooth transitions and user adoption. Develop and deliver communication plans, training programs, and engagement activities to prepare employees for workspace changes. Address concerns and resistance proactively, fostering positive attitudes toward workplace evolution.
Vendor & Resource Coordination
Manage relationships with contractors, furniture vendors, technology providers, and specialized life sciences equipment suppliers. Evaluate vendor performance, negotiate contracts, and ensure service level agreements are met. Coordinate logistics for furniture installation, equipment relocation, and technology deployments with minimal operational disruption.
Technology Integration
Collaborate with IT and digital workplace teams to integrate workplace technology solutions including occupancy sensors, room booking systems, and workplace experience platforms. Ensure technology implementations support data-driven decision-making for ongoing space optimization.
Required QualificationsEducation & Experience
Bachelor's degree in Project Management, Facilities Management, Engineering, Architecture, or related field required. 5-7 years of progressive project management experience in facilities management, corporate real estate, or workplace services. Minimum 3 years of experience working within life sciences, pharmaceutical, biotech, or highly regulated laboratory environments. PMP, LEED AP, or equivalent professional certification preferred.
Technical Competencies
Deep understanding of life sciences facility requirements including laboratory design, cleanroom operations, biosafety protocols, and equipment-intensive environments. Proficiency in project management methodologies (Agile, Waterfall, Lean) and tools (MS Project, Smartsheet, Asana). Knowledge of building systems, HVAC requirements for controlled environments, and critical utility management. Experience with CAFM/IWMS platforms and workplace analytics tools. Strong financial acumen including budget development, cost tracking, and financial reporting.
Regulatory Knowledge
Working knowledge of FDA regulations, cGMP requirements, ISO standards applicable to life sciences facilities. Understanding of biosafety level (BSL) requirements and associated facility design considerations. Familiarity with laboratory safety standards, chemical handling protocols, and environmental compliance requirements.
Soft Skills
Exceptional communication skills with ability to translate technical concepts for diverse audiences from laboratory scientists to C-suite executives. Strong problem-solving capabilities and ability to navigate complex, ambiguous situations in fast-paced environments. Proven ability to influence without authority and build consensus among stakeholders with competing priorities. Detail-oriented with strong organizational skills and ability to manage multiple concurrent projects. Adaptable and resilient, comfortable working in dynamic environments with evolving requirements.
Key Performance IndicatorsSuccessful project delivery within scope, schedule, and budget parameters (95%+ on-time, on-budget completion). Client satisfaction scores and NPS ratings. Space utilization improvement metrics and cost-per-square-foot optimization. Compliance adherence rate (100% for regulatory requirements). Stakeholder engagement and change adoption rates.
Work EnvironmentThis position operates within life sciences facilities including laboratories, cleanrooms, manufacturing areas, and office environments. May require PPE usage and adherence to strict safety protocols when accessing controlled areas. Flexibility to work on-site at client facilities with occasional evening or weekend hours to minimize disruption to operations. Hybrid work arrangements may be available for non-site-critical activities.
