Area of Responsibility
As People & Culture Project Specialist, you will join the global People & Culture (P&C) organization responsible for developing and managing the HR/IT project portfolio roadmap. Your primary focus will be to lead and support the planning and delivery of projects across the organization. This role is responsible for supporting project execution from initiation through implementation, ensuring projects are delivered on time, within scope, within budget, and aligned to business objectives.
As Project Specialist, you will partner with Project Managers, cross-functional teams, leaders, and stakeholders to manage timelines, risks, resources, governance, and change activities while maintaining clear communication and accountability throughout the project lifecycle.
This role requires strong project delivery capability, stakeholder management, structured problem-solving, and the ability to operate effectively in a dynamic transformation environment.
You will work closely with Employee Experience and Process Excellence Specialists to ensure successful adoption of processes and technologies, delivering meaningful value through seamless and engaging experiences for managers and employees worldwide.
This is a unique opportunity to play a central role in a global transformation journey, helping define and embed employee experience and solution adoption across the organization.
More specifically, you will be responsible for:
- Supporting and/or leading end-to-end delivery of projects from initiation through closure, by developing project charters, scope documents, timelines, workplans, budgets, and resource plans, and by defining milestones, deliverables, dependencies, and critical paths to ensure successful execution. All in adherence to chosen project management methodologies, tools, and governance frameworks.
- Monitoring project progress and supporting identification and follow-up on issues affecting scope, schedule, or budget.
- Building strong working relationships with project sponsors, business leaders, and cross-functional teams.
- Act as primary contact for project stakeholders to coordinate activities across multiple teams and facilitation of project meetings, working sessions, steering committees, and decision-making forums and provision of clear and timely updates to leadership and stakeholders.
- Ensure alignment between business needs & delivery outputs
- Management of project risks, issues, assumptions, and dependencies by maintaining logs, tracking actions, and escalating where appropriate through project governance channels.
- Tracking progress against KPIs, milestones, budget, and project outcomes.
- Clarification of roles, responsibilities, and deliverables across stakeholders and project teams.
- Helping identify blockers and supporting collaboration across teams to maintain project momentum.
- Supporting implementation planning, stakeholder readiness, and adoption activities where needed.
- Supporting transition and handover of project outcomes into operational ownership.
- Capturing lessons learned and best practices following project completion.
- Contributing to continuous improvement of project delivery standards, templates, governance, and ways of working within the PMO.
- Supporting capability building within P&C through collaboration, documentation, and continuous development of project management tools and best practices.
- Execute solution adoption and global process standardization in a consistent, compliant and efficient set-up; ensuring the AI agenda is included in the deliverables.
- Supporting review of existing processes and systems, gathering feedback, analysing trends, and helping identify opportunities for improvement.
- Ad hoc administrative and communication tasks for management.
Who Are You?
You are a project professional with experience supporting project delivery, change initiatives, or transformation activities in a structured and collaborative environment. You understand that communication, stakeholder alignment, and employee adoption are important contributors to successful project outcomes.
You bring a structured, organized, and proactive approach and are comfortable collaborating with stakeholders across different teams and functions.
You can:
- Apply project management tools and frameworks to support delivery of cross-functional initiatives.
- Build strong working relationships and collaborate effectively across stakeholders and teams.
- Support project implementation and change activities that enable adoption of HR/IT solutions.
- Facilitate interviews, workshops, and co-creation sessions to uncover insights and develop solutions.
- Support pilots, gather feedback, track outcomes, and contribute to continuous improvement before broader rollout.
- Coordinate multiple tasks, deadlines, and stakeholders in a structured and organized way.
You Have:
- 2–4 years of experience supporting project management, PMO activities, transformation initiatives, or cross-functional projects.
- Experience supporting projects with multiple stakeholders, workstreams, and competing priorities.
- Experience working within a PMO, Transformation Office, HR, or business project environment is an advantage.
- Project Management certification such as Project Management Institute PMP, PRINCE2, Agile, Scrum, or equivalent.
- Strong written and verbal communication skills.
- Ability to translate plans into coordinated actions and follow through on deliverables.
- A clear and effective communication style, with the ability to simplify complexity. Strong collaboration and stakeholder management skills with the ability to work effectively across functions and levels of the organization.
