Duties
Counseling Processing aide personnel must possess a strong working knowledge of military education counseling practices and have the capabilities to exercise discretion and judgment when providing individual/group military counseling Processing aide support services. These individuals provide educational support, as needed, to Soldiers attending civilian institutional programs in accordance with AR 621-1. These personnel are responsible for all processing tasks required to meet the scope of work, to include updating student records, scheduling tests, distribution of test results to appropriate parties, uploading Soldiers’ documents, filing, handling mail, and handling e-mail correspondence. All personnel will be handling sensitive material to include Soldiers’ personally identifiable information (PII) and student records (protected under the Family Educational Rights and Privacy Act).
Additional tasks include preparation (ordering, copying, and editing) and distribution of information for briefings and tuition assistance guidance. All Counseling Processing aide personnel are required to assist the Government Test Control Officer (TCO) in administering/supporting all testing approved by the Education Service Officer (ESO) that cannot be administered by the National Testing Center (NTC) or at locations that are not supported by an NTC in accordance with Army Personnel Testing and DANTES procedures. These individuals are responsible for the administration and safeguarding of all tests (paper and computer-based). These items are controlled items; therefore, they are handled, stocked, scored, inventoried and administered in strict compliance with applicable regulations.
These personnel will work with a variety of advanced military and commercial computer programs, including ArmyIgnitED, Transition Point Processing System (TransProc), ICAT, Microsoft Office Programs, and an assortment of other education-related databases. The individuals will establish student accounts for Soldiers and update all information as necessary. They provide guidance to Soldiers in navigating all military systems.
These individuals will perform other duties that promote and support education center programs as required by the Education Service Officer (ESO). All Processing Aide Support personnel are required to follow documented standards and procedures when completing tasks. Maintain inventory control, key control, submit helpdesk tickets for work orders, computer repairs, NEC and maintain a log.
Must have the ability to lift up to 50 lbs. and distribute supplies. Must have the ability to transport to S6 and back to the education center any technology-based equipment. Help to set up classroom spaces. Prepare signage and bulletin boards and maintain them for accuracy ensuring that the data is in compliance with all Army regulations and local policy. Ensure that all public spaces are neat and free of any hazards; report any hazards immediately to the ESO. Prepare any DPW work orders as required and/or stated by the ESO.
Assist clients with locating and enrolling in military programs and courses of instruction (both local and online), including military correspondence courses and other web-based Army training programs. Assist clients with locating and accessing resources in support of Army Credentialing Program, MOS training, professional military education and other training needs. Determine the reason for the customer’s visit or contact and refer them to other appropriate personnel IAW site SOP or similar written directives. Assist clients with scheduling and use of training aids and equipment to ensure proper use. Support special and routine outreach events as directed by ESO (i.e. education and college fairs, graduations, symposiums, Military Academic Achievement Awards, Community Events, etc.) up to 100 km from current place of duty. Promote education center training resources.
Qualifications
Personnel providing Counseling Processing Aide Support must meet the following minimum requirements: An Associate’s Degree from a college or university that is accredited by a regional accrediting agency recognized by the U. S. Department of Education. A minimum of two years of experience, training, or demonstrated exposure to military education programs and Soldier development courses, including familiarity with Military Occupational Specialties (MOS). Qualifying experience may include formal employment, volunteer support within an Education Center, participation in unit-level training or development activities, or practical involvement gained through assisting service members with education or MOS-related requirements. Candidates with working knowledge of military education processes in a military or military-adjacent environment will be considered. Must be capable of obtaining a favorable Tier 1 Background Investigation. Broad understanding and training in handling sensitive material. Strong comprehension and ability to navigate military web- based systems/programs and Microsoft Office, or similar, programs.
