We are looking for an Office Manager who can keep our Berlin office running smoothly while creating an enjoyable, comfortable and inspiring environment for our team.
Your role
As Office Manager, you will take ownership of the daily operations and employee experience in our Berlin office.
You will manage suppliers, office resources, facilities, administrative processes and workplace logistics. You will also help bring the team together through events, celebrations and thoughtful improvements to the office experience.
This position combines office management, administration, workplace hospitality, employee experience and event coordination.
Your responsibilities
- Manage the daily operations of the Over99 Berlin office
- Maintain an organized, attractive, safe and well-equipped workplace
- Act as the main contact for landlords, cleaners, maintenance providers and other suppliers
- Coordinate repairs, deliveries, access cards and general facility requirements
- Order and manage office supplies, equipment, food, drinks and other workplace essentials
- Track office budgets, quotations, contracts, invoices and recurring expenses
- Receive visitors, deliveries, mail and important office documents
- Manage meeting rooms, shared spaces and office calendars
- Coordinate workplace health and safety requirements with the appropriate providers
- Support employee onboarding and offboarding in cooperation with HR and IT
- Prepare workspaces, equipment and access for new employees
- Organize team lunches, after-work activities, celebrations and company events
- Recognize birthdays, anniversaries, achievements and other important team moments
- Coordinate catering, gifts, decorations, bookings and event logistics
- Prepare internal announcements, office updates and event invitations
- Assist with business travel, accommodation and visits from international colleagues when required
- Collect employee feedback and identify practical ways to improve the office experience
- Document and improve recurring office procedures
- Provide general administrative support to management and the wider team
- Handle company and employee information with discretion
Your profile
- Relevant professional experience in office management, workplace operations, administration, hospitality, events or a similar role
- Excellent organizational and time-management skills
- The ability to manage several priorities and projects simultaneously
- Experience working with suppliers, budgets, invoices and administrative processes
- A proactive attitude—you notice what needs to be done and take responsibility
- A warm, energetic and approachable personality
- Strong problem-solving skills and the ability to remain calm when plans change
- Confidence communicating with employees, visitors and external service providers
- Excellent attention to detail and a high standard of reliability
- Good working knowledge of Google Workspace or similar office software
- Strong English skills; German is a strong advantage
- Availability to work full-time from our Berlin office
- Willingness to attend occasional pre-planned company events
