Job Mission
As a Order Processing & Customer Service Specialist, you will play a key role in supporting customers, sales colleagues, and internal stakeholders throughout the full order and service process. You will ensure smooth handling of customer requests, quotations, orders, deliveries, service contracts, and invoicing, while maintaining accurate data in ERP and CRM systems.
In this role, you will contribute directly to customer satisfaction, operational efficiency, and revenue growth by providing structured, reliable, and customer-focused sales support. You will act as an important link between customers, external service providers, purchasing, logistics, service technicians, and the sales organization.
Key Responsibilities
- Manage the complete order process, including quote preparation, order review, order entry, shipment tracking, and invoicing.
- Monitor and administer service and maintenance contracts, including scheduling service technicians and ensuring that all contractually agreed services are performed on time.
- Coordinate with customers and stakeholders, including external service providers, purchasing, logistics, and internal teams, regarding order status, delivery updates, and service progress.
- Maintain accurate customer and order data in ERP and CRM systems, while monitoring deadlines to ensure timely processing and execution.
- Support warehouse-related activities, including inventory coordination and control in line with company-wide working capital targets.
- Operate a forklift when needed, ensuring safe loading and unloading of deliveries in accordance with applicable safety regulations.
- Support accounts receivable management by monitoring open items and collaborating with the responsible Area Sales Manager on actions to secure payment receipt.
- Handle customer complaints by documenting cases and coordinating corrective actions with the relevant product area.
- Prepare monthly performance and KPI reports using the CRM system.
- Assist with trade shows and sales events, including preparation, coordination, and execution.

Experience and Education
- Required language skills: Fluency in Dutch and English is required.
- Additional language skills: German language skills would be a strong advantage.
- Professional experience: 1–2 years of experience in sales or a sales-related role, such as inside sales, customer service, sales support, or service coordination.
- Relevant background: Proven experience in a sales or sales support role, ideally within an industrial, technical, or manufacturing environment.
- Systems experience: Experience working with ERP and CRM systems, including maintaining customer data and managing order-related information.
- Industry experience: Experience in an industrial or technical environment is considered an advantage, but the type of previous sales experience can be flexible.
