Purpose of Role/Summary:
The Personal Assistant serves as the trusted right hand to the Chairwoman & Founder, providing seamless executive, administrative, and personal support across the Group's multiple companies and businesses.
The role requires a polished, intelligent, and discreet professional who can manage competing priorities across numerous managers and Chiefs, safeguard confidential business and personal matters, and ensure the Chairwoman's time, communications, and affairs are handled with the highest standard of judgment, efficiency, and professionalism.
Main Activities and Responsibilities:
- Manage the Chairwoman's calendar across all Group companies and businesses, coordinating priorities, meetings, and travel in liaison with multiple Chiefs, managers, and departments
- Act as the primary point of contact between the Chairwoman and the Chiefs/Managers across the Group's companies, following up on deliverables, decisions, and action points on her behalf
- Prepare, review, and consolidate board packs, presentations, reports, and briefing documents ahead of meetings with internal and external stakeholders
- Draft, screen, and manage correspondence and communications, exercising sound judgment on prioritization and confidentiality
- Attend meetings when required, take accurate minutes, and ensure timely follow up and closure of action items across all businesses
- Coordinate and manage domestic and international travel logistics, including visas, itineraries, and accommodations
- Track KPI’s and performance updates from chiefs across the various companies, escalating issues and flagging risks proactively
- Conduct research, gather information, and prepare summaries and analyses to support the Chairwoman's decision making
- Represent the Chairwoman professionally with internal teams, external partners, entities, and VIP guests
- Maintain strict confidentiality of sensitive business, financial, and strategic information at all times
- Support with personal and private matters, ensuring seamless coordination between business and personal commitments, always with the utmost discretion
- Any other duties that are requested and relevant to the role
Required Skills & Experience:
- Bachelor's degree in Business Administration or a related field
- Minimum 5+ years' experience as a Personal to C-level executives, business owners, or high-profile individuals, ideally supporting multiple entities or a group of companies
- Proven experience supporting both the business and personal/private affairs of senior executives or HNW individuals is highly preferred
- Excellent level of written and spoken English; Arabic / Spanish or additional languages are an advantage.
- Exceptionally presentable, well groomed, and polished in appearance and demeanour, able to represent the Chairwoman confidently in all settings
- High intelligence and strong critical thinking, with the ability to anticipate needs and solve problems independently and discreetly
- Outstanding emotional intelligence, discretion, and sound judgment when handling highly confidential business and personal matters
- Exceptional organizational skills, with the ability to multi task and manage competing priorities across multiple businesses and stakeholders simultaneously
- Strong stakeholder management skills, comfortable liaising confidently with leadership team, senior managers, business partners, and high profile individuals
- Advanced proficiency in Microsoft Office & AI Tools
- Flexibility and availability to accommodate the Chairwoman's schedule, including outside standard working hours when required
- Valid driving license is an advantage; willingness to travel locally and internationally as needed
Further Info:
- Working hours are 08:00 – 17:00 Monday to Friday
- The role requires flexibility on location, with travel and presence across the Group's offices in Jordan, Cyprus, UAE and Spain as needed; some remote/hybrid work may apply depending on the Chairwoman's schedule
