The European Society of Radiology (ESR) is a non-political and non-profit organisation dedicated to strengthening and uniting European Radiology. With more than 149,000 members worldwide, it has become the largest radiological society that organises one of the most innovative scientific congresses in this field, the European Congress of Radiology (ECR), in Vienna.
We are looking for a new team member to support the European School of Radiology (ESOR) and promote our offers to young radiologists around the world through website, newsletters, social media and more.
Tasks
You will be coordinating multiple events, liaising between different stakeholders, and making sure everything runs smoothly behind the scenes. You will join a collaborative team of six, working together to manage 70+ educational initiatives per year.
As part of our team, you will handle the logistics and administration of ESOR’s educational initiatives, ensuring seamless coordination between faculty, sponsors, technical teams, and other stakeholders.
Your main tasks will include:
Programme & Workshop Coordination
- Managing administrative processes for 3-5 on-site events and 8-12 online courses per year
- Coordinating with faculty (sending invitations, reminders, Zoom links, instructions)
- Organising travel, accommodation, and reimbursements for speakers
- Liaising with streaming providers, website hosts, sponsors, travel agents, and more
- Facilitating contract signing with speakers and sponsors
Content & Technical Support
- Website administration using WordPress (Elementor)
- Social media coordination and content creation
- Proofreading and preparing newsletter mailings, PowerPoint presentations, and event materials
- Creating graphics for social media, website and ECR
General Administrative Tasks
- Managing emails and correspondence
- Keeping track of programme logistics and deadlines via Excel, Google Sheets, and internal databases
- Assisting with contract administration and documentation
- Preparing meeting agendas, minutes, and reports
Requirements
- Background: minimum 3 years of experience in event coordination and project administration with full ownership of end-to-end delivery
- Languages: Full professional fluency in English – additional languages are a plus
- Social Media: experience in social media copywriting, creating graphics, and planning a content calendar
- Tech-savvy: Fully comfortable with MS Office Suite and Google Docs - experience in Adobe InDesign and Adobe Express is a benefit
- Strong communicator: Most of your work will involve emailing and coordinating between different teams
- Willingness to travel 4–5 times per year (3–6 days per trip) for on-site workshops

The monthly gross salary for this job vacancy is at least € 2,500 for 38.5h (14 times per year). The final salary depends on your relevant experience and qualifications and can be negotiated.
