We're looking for an experienced Business Coordinator to join our team in Madrid.

This is much more than an administrative role. You'll become a trusted partner to our leadership team, helping them stay organized, connected, and focused on driving the business forward. You'll work directly with Vice Presidents and Global Leaders, supporting strategic priorities while ensuring the day-to-day operations of the leadership team run seamlessly.

About the Role

As Business Coordinator, you'll provide executive and operational support to the IDT Leadership Team and senior leaders across our global organization.

You'll coordinate complex calendars, international travel, leadership meetings, business events, and key operational activities that enable the leadership team to perform at its best. This is a highly visible position requiring someone who can confidently engage with senior executives, anticipate needs before they arise, and balance strategic thinking with hands-on execution.

What You'll Do

Partner with Senior Leadership

  • Support the IDT Leadership Team in their day-to-day activities.
  • Manage complex executive calendars across multiple time zones.
  • Anticipate scheduling conflicts and proactively identify solutions.
  • Act as a trusted partner, ensuring leaders are prepared and focused on business priorities.

Coordinate Global Travel

  • Organize domestic and international travel from start to finish.
  • Manage flights, accommodation, visas, itineraries and logistics.
  • Process expenses and ensure compliance with company policies.
  • Optimize travel planning while balancing business needs and cost efficiency.

Lead Meeting & Event Coordination

  • Organize leadership meetings, workshops and international offsites.
  • Prepare agendas, presentations and meeting materials.
  • Capture minutes and follow up on key actions.
  • Coordinate meeting logistics, catering and visitor arrangements.

Business & Operational Support

  • Prepare presentations, reports and executive communications.
  • Support internal events and team activities.
  • Coordinate with stakeholders across multiple functions and regions.
  • Ensure smooth day-to-day operations for the leadership team.

Who You Are

You're someone who naturally creates order in complexity. You enjoy working with senior leaders, take ownership without being asked, and always think one step ahead.

You have:

  • 5+ years of experience supporting senior executives, leadership teams or global business functions.
  • Experience working in a multinational or matrix organization.
  • Exceptional organizational and prioritization skills.
  • Strong experience coordinating international travel and executive calendars.
  • Excellent communication and stakeholder management skills.
  • High levels of professionalism and discretion when handling confidential information.
  • Advanced Microsoft Office skills (Outlook, PowerPoint, Excel, Word).
  • Experience using travel and expense tools such as Concur.
  • Fluency in English (Spanish or additional languages are an advantage).
