EMEA FF&E Circularity & Asset Coordinator
Position Summary
The EMEA FF&E Circularity & Asset Coordinator will support the regional implementation of GREF’s FF&E asset management and circularity program across EMEA. This role will act as the hands-on regional coordinator for furniture, fixtures, and equipment reuse, redistribution, donation, storage, logistics, and asset data quality.
Working under the direction of EMEA IFM leadership, and the global FF&E/circularity program lead, this role will help translate global standards into practical regional execution. The coordinator will partner with Facilities, Design & Construction, MAC, Procurement, Sustainability, Portfolio Management, vendors, and site teams to identify reusable assets, maintain accurate inventories, coordinate movement of materials, and support reuse-first decision-making across projects and operations.
This role is especially important because GREF’s circularity framework prioritizes internal reuse before donation or recycling, with disposal only as a final option, with FF&E identified as a high-impact category for reducing embodied carbon, waste, and unnecessary procurement.
Key Responsibilities
Regional FF&E Asset Management
Maintain and improve regional FF&E asset inventories, including asset location, quantity, condition, ownership, storage status, and reuse eligibility, ensuring assets are registered at receipt and updated through relocation, storage and removal.
Track FF&E through full lifecycle and flag end of life assets for reuse eligibility assessment before disposal. Support periodic asset verification and inventory checks across EMEA sites, warehouses, and storage locations.
Coordinate with IFM vendors to support FF&E verification across regional sites, tracking completion and escalating gaps.Ensure FF&E records align with Global Engineering Enterprise Asset Management SOPs.
Help improve data quality and consistency across regional asset records.
Reuse, Redistribution, and Circularity Implementation
Partner with EMEA Sustainability to ensure FF&E reuse and donation data is captured to support with carbon savings calculations.
Partner with EMEA Sustainability to identify FF&E available for reuse or donation from decommissioning, consolidation, refresh, retrofit, and new project activities.
Maintain a practical regional catalog of available furniture and equipment for reuse across EMEA.
Coordinate with project teams to match available inventory with upcoming demand before new procurement is initiated.
Support reuse-first planning with Design, Construction, MAC, Portfolio, Procurement, and Facilities teams.
Track avoided purchases, reuse outcomes, donation volumes, waste diversion, and estimated carbon benefits where data is available.
Logistics and Storage Coordination
Coordinate the movement, storage, refurbishment, redistribution, donation, resale, recycling, or disposal of FF&E across EMEA.
Work with warehouse, logistics, relocation, IFM, and vendor partners to ensure assets are properly collected, stored, protected, and made visible for reuse.
Help solve regional logistics challenges, including timing, transportation, space constraints, inventory availability, and cross-site demand matching.
Support process improvements to make reuse easier and faster for project and site teams.
Donation and Sustainable Disposition
Coordinate with regional stakeholders and approved partners to donate or responsibly dispose of assets that cannot be reused internally. Support regional stakeholders in vendor selection for waste disposal, ensuring reporting requirements can be met.
Support documentation for donation, sale, recycling, transfer, or waste disposal.
Ensure disposition decisions follow applicable regional requirements, internal policies, and local procedures.
Reporting and Process Improvement
Prepare simple regional updates on asset availability, reuse activity, logistics issues, cost avoidance, and sustainability outcomes.
Identify process gaps and recommend improvements to the global program lead.
Document lessons learned from EMEA implementation to help refine global standards, tools, and playbooks.
Support regional pilots and scaling efforts for FF&E reuse and circularity.
Required Qualifications
Experience in facilities operations, FF&E coordination, asset management, workplace services, logistics, project coordination, or related fields.
Strong understanding of furniture inventory, workplace moves, storage, reuse, donation, or disposal processes.
Ability to coordinate across multiple sites, vendors, warehouses, and internal teams.
Strong organizational skills and attention to data accuracy.
Comfortable working with asset management systems, spreadsheets, dashboards, or inventory tools.
Strong communication skills and ability to drive follow-through with regional stakeholders.
Experience supporting operational programs across multiple countries or sites in EMEA.
Preferred Qualifications
Experience with circular economy, furniture reuse, waste diversion, embodied carbon, or sustainability programs.
Familiarity with CMMS/CAFM systems, barcode/RFID tracking, or visual inventory platforms.
Experience working with Design & Construction, MAC, IFM, Procurement, or Portfolio teams.
Knowledge of donation, resale, recycling, or sustainable disposition processes in EMEA.
Experience coordinating warehouse, relocation, or logistics vendors.
Success Measures
Improved visibility and accuracy of EMEA FF&E inventory.
Increased reuse of existing FF&E before new procurement.
Reduced waste through redistribution, donation, resale, or recycling.
Clear regional reporting on reuse, avoided purchases, and disposition outcomes.
Practical feedback that helps refine the global FF&E circularity process.
