JOB DESCRIPTION
This role includes managing day-to-day distribution operations and supporting other organizational tasks as needed.

CORE TASKS AND RESPONSIBILITIES
- Keeps the workplace and associated distribution areas clean and orderly, in accordance with EU GMP/GDP directives.
- Processes all clinical investigation (CTM) and related materials according to SOPs and EU GMP/GDP guidelines.
- Liaises with customers, intermediaries, and/or courier services regarding inbound shipments, as needed or required.
- Immediately informs the Warehouse Manager, QA, and DPM of any discrepancies regarding outbound shipments, CTM status, and inventory levels.
- Enters data into the ICS system for all outbound CTM shipments.
- Enters tariff codes, weight, and volume of CTM exported overseas, using the courier's computer system.
- Controls the conversion of product weights or volumes based on the weights and measures applicable in the destination country.
- Processes shipments according to the requirements of the courier services' operational systems.
- Assists in the processing of materials returned for accountability from clinical sites.
- Acts as a point of contact for providers of services for the treatment of general and pharmaceutical waste.
- Supports activities related to facility improvements as needed.
- Captures and controls data related to daily processing, returns and destruction, in accordance with SOPs and working procedures.
- Is responsible for verifying the accuracy and readability of shipping requests and the availability of supplies for the fulfillment of the shipment.
- Checks that the required, study-specific format for the Clinical Supplies Shipping Invoice (CSSI) has been approved for use.
Acts as a point of contact for the Warehouse and Distribution Manager in determining and managing inventory levels and expiration dates of materials for clinical trials.
- Checks that the expiration date of the medicine is valid before processing shipping documents.
- Assembles shipping packages that contain the shipping documentation.
- Processes customs documentation if required.
- Follows up with the customer and/or IVRS/IWRS notifications about the shipment, as required for specific projects.
MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS AND COMPETENCES)
- Secondary school diploma (e.g. GCSE or equivalent).
- Experience in the sector within an EU GMP/GDP environment.
- Excellent interpersonal skills.
- Excellent reading and writing skills.
- Excellent communication skills.
- Good command of the English language.
- General numeracy skills.
- Computer skills.
- An eye for detail.
- Physical work (lifting) required.
- Qualification for working with dangerous goods is an advantage.
PHYSICAL DEMANDS AND WORKING ENVIRONMENT
The physical requirements described here are representative of what is expected of an employee to successfully perform the essential tasks of this position. Lifting materials up to 50 lbs (approx. 23 kg) and using warehouse equipment are required. While performing the work, the employee is in a warehouse and production environment (packaging), where incidental exposure to factors such as odor, noise, dust, heat, cold or chemicals is possible. Personal protective equipment (PPE) and training are provided.
