Job Description

We are seeking an organized and detail-oriented Purchasing Clerk to join our team. This role is ideal for someone who enjoys working with suppliers, coordinating orders, and ensuring the smooth and efficient flow of goods across a luxury hospitality environment.

About the Role

As Purchasing Clerk, you will support the day-to-day purchasing operations, ensuring that products, supplies, and equipment are ordered accurately, delivered on time, and in line with the property's quality standards. You will work closely with Finance, Stores, and operational departments to support efficient purchasing processes.

Key Responsibilities

• Process purchase orders and ensure accurate and timely ordering
• Coordinate with suppliers regarding availability, pricing, deliveries, and product specifications
• Maintain accurate purchasing records and documentation
• Monitor orders and follow up on outstanding deliveries
• Assist with receiving and checking deliveries when required
• Maintain supplier information and support the purchasing database
• Collaborate with operational departments to understand purchasing needs
• Support invoice matching and resolve discrepancies with suppliers and Finance
• Assist with inventory monitoring and identifying replenishment requirements
• Ensure purchasing procedures and company standards are consistently followed

What We're Looking For

• Previous experience in purchasing, procurement, administration, or a similar role
• Strong organizational and administrative skills
• Excellent attention to detail and accuracy
• Good communication and negotiation skills
• Proficiency in Microsoft Office, particularly Excel
• Experience with purchasing or inventory management systems is an advantage
• Ability to manage multiple priorities in a fast-paced environment
• A proactive, reliable, and team-oriented approach
